Annual Meeting Submission & Presenting FAQs

General Submission Questions


What browser should I use?

Google Chrome is the recommended browser for the submission site.


I've been invited as a presenter, speaker, or organizer but don't have an account. What should I do?

All presenters, presenting authors, speakers, moderators, and organizers attending the conference must have an SAEM (iMIS) online account and be registered for the conference. If you do not already have an SAEM (iMIS) account, please visit the SAEM website to create one. Creating an account is free, and SAEM membership is not required.


I forgot my username or password.

Please email membership@saem.org to request a username or password reset.


I submitted my proposal but didn't receive a confirmation email.

Before contacting SAEM:

  • Check your junk or spam folder. 

  • If you're using an institutional computer, verify that your organization's firewall isn't blocking emails. 


I haven't received my acceptance notification.

Acceptance notifications are sent only to the individual who submitted the proposal. Before contacting SAEM:

  • Confirm you are the original submitter. 

  • Check your junk or spam folder. 

  • Verify your institution's firewall isn't blocking emails. 


Can I edit my submission after submitting?

Yes. You may edit your submission until the submission deadline. After the deadline, changes are generally not permitted except under extraordinary circumstances. If your submission is accepted, updated data may be incorporated into your presentation.


Are late submissions accepted?

No. Late submissions cannot be accepted.


What writing style should I use?

Please use APA style.


Can I include tables, charts, graphs, or images?

No. Tables, charts, graphs, and graphics are not permitted in submissions because they cannot be displayed properly during peer review.


How long can my title be?

Submission titles may be up to 100 characters (excluding spaces).


Can I use the same login from previous years?

Yes. Please use your existing SAEM (iMIS) account credentials to access all submission systems and conference portals. Do not create a new account, as multiple accounts can cause access and login issues.


On the submission form, does "Professional Category" refer to the submitter or the presenter?

It refers to the submitter.


What's the difference between a presenter and a presenting author?
  • Presenter: Workshops, Forums, Didactics, and AEMP Year in Review 

  • Presenting Author: Abstracts, Innovations, and IGNITE!

AEMP Year in Review

What is AEMP?

The Academy of Emergency Medicine Pharmacists (AEMP) holds its annual conference alongside the SAEM Annual Meeting.


Who should submit an AEMP Year in Review session?

This session is designed for pharmacists within their first five years of practice.


Submission Components

  • Description (300 words max) 

  • Plan (150 words max) 


Titles, authors, and learning objectives are entered separately.


Scientific Abstracts

How long can my abstract be?

The abstract body is limited to 2,050 characters (excluding spaces). The limit does not include:

  • Title 

  • Authors 

  • Affiliations 

  • Learning objectives 


Do not include the headings Background, Methods, Results, or Conclusion. These are added automatically.


Can I submit an abstract presented at CORD or an SAEM Regional Meeting?

Yes.


Can I submit an abstract that has already been published?

No. Abstracts accepted for publication on or before the submission deadline are not eligible.


Can I submit an abstract previously presented elsewhere?

Only if it has not been presented at another national or international conference more than 30 days before SAEM27.


Can I submit to both the Annual Meeting and Regional Meetings?

Yes. During submission, you may elect to have your abstract considered for one or more SAEM Regional Meetings.


Can I submit preliminary data?

Yes. Preliminary data are acceptable if the abstract is otherwise complete.


Are case reports accepted?

Case reports may be submitted but generally score poorly under the abstract review criteria. Consider submitting them as Clinical Images instead.


Innovations & IGNITE!

What's the difference?

Innovation vs IGNITE!

  • An innovation is a presentation of a new process, product, technique, or educational approach. 

Please Note: The Innovations category is NOT a venue for clinical submissions.  Outcome data are not essential for submitting an Innovation. However, the Innovations need to be implemented prior to submission. Submitters with innovations that are still in concept or pre-implementation phase at the time of submission should wait for a future submission cycle after implementation.


  • IGNITE! is a fast-paced presentation built around a compelling idea or topic.


Can I submit the same proposal to both categories?

No.


Oral vs. Hands-on Innovation

  • An Oral Innovation is a 7-minute presentation 

  • A Hands-on/Tabletop Innovation is a 1-2 hour presentation demonstrated in a gallery setting


Submission Length

Innovation
  • Five sections 

  • Four sections: 75 words each 

  • Summary: 300 words 


IGNITE!
  • Summary: 500 words 


Clinical Images

Do I need patient consent?

Yes. A signed patient consent form is required for every Clinical Image submission, regardless of whether the patient is identifiable.


Authors & Presenters

Can I change authors?

Yes. Authors may be added or changed through April 1, 2027. Authors added after March 9, 2027 will not appear in the Academic Emergency Medicine journal supplement.


Can I change presenters?

Presenters or presenting authors may be changed through April 1, 2027.  After April 1, presenter changes are permitted only under SAEM's CME policies.


All presenters must:

  • Complete disclosures 

  • Be approved 

  • Be listed in the official program/program planner

  • Register for the meeting 


Presenting at SAEM27

When will I receive my presentation schedule?
  • Schedule notifications for abstract presentations will be available in early March 2027

  • Schedule notifications for Innovation and IGNITE! presentations will be available in late January 2027

  • Schedule notifications for didactic presentations will be available in mid-December 2026

  • Schedule notifications for Advanced EM Workshops will be available in early November 2026.


Can I choose the format or length of my presentation?  

No. Presentation formats and time frames are assigned by the SAEM Program Committee based on peer review.


Presentation Lengths
  • Oral Abstract:  10 min + 2 min Q&A

  • Lightning Oral:  6 min + 2 min Q&A

  • Plenary: 10 min + 5 min Q&A

  • AEMP Abstract: Approximately 3 minutes plus combined Q&A


Can I change my presentation date or time?

Schedule changes are rarely possible. If requesting a change, a Presentation Schedule Change Request Form may be completed (link forthcoming).  Identifying another presenter willing to swap sessions may improve the likelihood that your request can be accommodated.


Does the presenting author have to present?

No. Any knowledgeable co-author or colleague may present if designated as the presenting author and approved by SAEM.  


Where do I upload my presentation?

Presentations are uploaded through the Presentation Upload Portal, which is separate from the submission site. Presenters will receive upload instructions by email. Upload deadline: April 1, 2027


Do presenters have to register?

Yes. All presenters, presenting authors, moderators, and speakers must register for the day they present. One-day registrations are available.


CME and CPE Credits

When can I claim credits?

Continuing Medical Education (CME) and Continuing Pharmacy Education (CPE) credits may be claimed after SAEM27 through the published deadline in July 2027.


How do I claim credits?

After the meeting, attendees will receive an email with instructions to complete the evaluation and claim CME or CPE credits.
