Virtual Presenter Instructions

Below please find instructions for recording and submitting your various sessions. Submissions will be accepted until April 1, 2021. Please record your presentation and upload it to the SAEM Dropbox using the instructions below. Please visit www.saem.org/saem21 for an up-to-date schedule of live presentations. All other presentations will be disseminated throughout the rest of the year.

Create Your Lightning Abstract, ePoster Abstract, or Oral Innovation Presentation

  1. Download the PowerPoint Template .
    • You are welcome to alter the background graphics and formatting of this template as you wish.  To hide the background graphics to create blank, white slides
      • Click “Format” in the upper toolbar
      • Select “Slide Background” in the drop-down
      • Check the “Hide Background Graphics” box
    • In order for your video to be viewed with the best quality, the video must be in 16:9 format
  2. Once you have completed your presentation, record yourself presenting.  This can be done via Zoom, your computer, or your institution's studio.  As a reminder the maximum length for recordings are listed below:
    • Lightning Abstracts:  Maximum length is 6 minutes
    • Oral Innovations:  Maximum length is 7 minutes
  3. Save your presentation as a .MOV, .MP4, and .WMV
    • The name of your file should be the same as your presentation title 

Create Your IGNITE! Presentation

  1. Download the IGNITE! PowerPoint Template. You must use this template as the timing is built into the presentation.  The template contains 1 blank title slide and 20 blank content slides, which will  automatically advance every 15 seconds.  PLEASE DO NOT DELETE ANY SLIDES OR ALTER THE TIMING MECHANISM.
    • You are welcome to alter the background graphics and formatting of this template as you wish.   To hide the background graphics to create blank, white slides
      • Click “Format” in the upper toolbar
      • Select “Slide Background” in the drop-down
      • Check the “Hide Background Graphics” box
    • In order for your video to be viewed with the best quality, the video must be in 16:9 format
  2. Once you have completed  your presentation, record yourself presenting.  As a reminder, you have exactly 5 minutes to present 20 slides (not counting the title slide).
    • Click on “Slide Show” in upper toolbar
    • Select “Record Slide Show” from the drop down 
    • In the pop-up; Microsoft PowerPoint” would like to access the microphone, click “OK
    • Begin speaking
  3. After saving your powerpoint presentation,
    • Click “File” in the upper toolbar
    • Select “Export” from the drop-down
    • In the “Export As” box, name of your file which should be the same as your presentation title 
  4. In the “File Format” drop-down list, select the video format MP4 or MOV.

If you are presenting at a Lightning Oral Abstract, ePoster Abstract, Innovation, or IGNITE! for SAEM21, these instructions will guide you on how to submit your presentation to SAEM

  1. Create a word document that must include the following:
    • Full Title of Presentation
    • Full Description
    • Category: Lightning Oral Abstract, ePoster Abstract, Innovation, or IGNITE!
    • Presenting Author Name
  2. Make sure the file names of the presentation and Word document that you are submitting contain the full title and presenting author's last name.
  3. Once steps 1 and 2 are completed, click on the link to our Dropbox webpage to upload your presentations: https://www.dropbox.com/request/M0HYdXWdMoQd53tPaSUQ 
    • Choose the Presentation files that you have saved on your computer
    • Enter in your first name, last name, and email address
    • Click "Upload"

  4. When submission is successful, you have completed the task.

Checklist before you record your presentation

Make sure the following items are checked:

  1. Test your microphone/camera to be able to turn on and off
  2. During the presentation, when recording, make sure your camera remains on
  3. Speak loudly and clearly on your device while presenting
  4. Use good lighting where you will be recording
  5. Enable your privileges on your device so you are able to share the screen
  6. Disable enter/exit chime
  7. Close nonessential apps and disable alerts/notifications
  8. Share the window of the PowerPoint with deck only and go fullscreen
