Abstract Submission General Instructions and Guidelines

The SAEM online abstract submission form may be used to submit abstracts for consideration of presentation at the SAEM Annual Meeting and /or for the SAEM regional meetings. 


 
The SAEM Annual Meeting is the largest forum for the presentation of original research in emergency medicine. Over 1,000 abstract submissions are evaluated every year and approximately 50% of submitted abstracts are selected for presentation. The number of abstracts accepted for presentation is not pre-determined. Abstracts submitted for the Annual Meeting receive a blinded review by multiple reviewers. Abstracts are selected based on a numerical score and are grouped by topic, whenever possible.

 

Regional meetings provide an opportunity for researchers to gain experience in presentation skills and present their research to a local audience. Acceptance of abstracts for these meetings and the criteria used for these invitations are separate and independent from those used for the Annual Meeting. A Submission approved for a regional meeting does not indicate acceptance for the Annual Meeting.


 
Authors are invited to submit original research in all aspects of emergency medicine for oral, poster, and moderated poster presentation at the SAEM Annual Meeting. Regional meetings vary in regards to abstract presentation format.
 
Ideally, submitted abstracts will have evident impact on the delivery of care to the acutely ill or injured patient or on the direction of future emergency medicine-related research and education. A good abstract begins with a well-designed study and a clearly stated hypothesis. While often done in a prospective, randomized, double-blind manner, other study designs are acceptable. The sample size should be sufficient to support the authors' conclusions. Appropriate statistical analysis is required and should be clearly stated. Studies that replicate previously published information without greatly adding to the body of medical knowledge are discouraged. It is incumbent upon the authors to identify and highlight the importance of the research to emergency physicians. Surveys and descriptions of curricula or other phenomena must clearly state a hypothesis, as well as the significance to emergency medicine education. Case reports will not be accepted.

Please note: Each author's email address is a required field so you will want to make sure you have the information prior to starting the submission process.


GUIDELINES FOR THE SUBMISSION OF ABSTRACTS

  1. Only reports of original research may be submitted. Only abstracts submitted using the online abstract submission form will be considered. 
  2. The abstract (or data or resultant paper) must not have been published in a peer-reviewed journal prior to the meeting. At the discretion of local organizers, Regional Meetings may permit presentation of abstracts or data previously published.
  3. Abstracts (or data) must not have been previously presented at national or international (held outside of the U.S.) meetings prior to the first day of the SAEM Annual Meeting. At the discretion of local organizers, Regional Meetings may permit abstracts previously presented or accepted for presentations at other meetings.
  4. It is the authors' responsibility to submit abstracts free of typographical or other errors. The abstract submission form allows authors to edit their submission, including the addition/deletion of authors, up to the submission deadline. Changes or corrections will not be accepted after the abstract deadline.
  5. Authors must certify that the research has been approved by an institutional review board or an animal use committee. SAEM reserves the right to request documentation of IRB approval. Failure to provide documentation may result in disqualification of the abstract.
  6. If accepted for presentation, the presenting author must register to attend the meeting, and must remit the appropriate registration fee.
  7. Abstract decision letters will be sent via e-mail to the corresponding authors. Do not contact SAEM to determine if your abstract has been accepted. A list of the accepted abstracts will be posted on the SAEM web site.
  8. All decisions of the Program Committee are final. Due to the large number of submissions and the very short turnaround time, SAEM will not consider requests for appeals nor can SAEM provide specific feedback to authors.

For the Annual Meeting Only:

  1. Abstracts accepted for presentation at the Annual Meeting will be published in the Abstract Supplement, which will be mailed as a special issue of Academic Emergency Medicine (AEM), the official journal of the Society for Academic Emergency Medicine. SAEM strongly encourages authors to submit their manuscripts directly to AEM.
  2. For the Annual Meeting, accepted abstracts are assigned to one of three formats. Oral presentations are given 10 minutes for presentation and 5 minutes for questions and answers. Poster presentations are assigned to a designated poster session. Some posters are selected for moderated poster sessions. 
  3. Authors are invited to submit abstracts in a special "late breaker" category. Late breaker abstracts are prospective research projects, such as a clinical trial still in the midst of data collection or patient enrollment at the abstract deadline, but will be completed, including analysis, by March 1. Projects that could have been completed by the abstract deadline (such as retrospective reviews) will not be accepted for this session. Submissions will be reviewed based on the quality of methodology, preliminary results, and anticipated timely completion of the study. Authors selected as "late breakers" will be notified in February and will be required to submit a final, complete abstract by April 1. (Note: The original preliminary abstract submitted for this session will be published in the Academic Emergency Medicine Abstract Supplement. The final complete abstract will be published in the on-site program).
  4. All abstracts submitted for the Annual Meeting will be considered for an award. During abstract review semi-finalists will be selected in various award categories. The semi-finalists will be notified in February and must submit a full-length manuscript to SAEM no later than the last Monday in April in order to be considered as a finalist. Award recipients will be selected based on the submitted manuscript and the presentation at the Annual Meeting. Awards will be given according to the level of training of the presenting author. To qualify for an award the recipient must:

a) have done the majority of the work,

b) present the study at the Annual Meeting, and

c) be the first author on the resulting manuscript.

  1. In lieu of submitting a research abstract, authors of educational projects may wish to consider submitting for consideration of presentation as an Innovations in Emergency Medicine Education Exhibit (IEME). The deadline for submission of IEME Exhibits is shown on the web site and the online submission form and instructions are available on the SAEM web site.  

Structured Abstract Format


Abstracts are limited to 2,016 characters, including spaces. This does not include the title or researchers. When using copy / paste, we suggest your first copy from your word processor (MsWord) into Notepad. Then copy / paste from Notepad into the online form. This will eliminate some of the extra "invisible" characters that get included. You may add an image or table in addition to this. 


Abstracts in all categories must be organized in a structured format as follows.



Structured abstracts facilitate explicit presentation of critical information and objective assessment of scientific validity. There are four required topic headings: Objectives, Methods, Results, and Conclusions. Optional headings are Background or Introduction. It is not necessary to begin a new line or leave extra space between topic headings.

Objectives: Begin with a precise statement of study purpose or a pre-study hypothesis. This may be preceded by a brief introduction summarizing past work or relevant controversies that place the study in perspective.

Methods: Sub-headings will be determined by the nature of the study. It is not necessary to identify each of the following sub-headings separately and it may be possible to incorporate several features of the study methodology into a single sentence. Design: Clearly state the study design, identifying them as observational or experimental. For observational studies, specify the temporal profile of the study as prospective, retrospective, or cross-sectional. Other descriptive terms such as cohort, case-control, or survey should be used as appropriate. Blinding should be described where relevant. Setting: For clinical investigations, describe the study site (e.g., community hospital ED, university tertiary referral center, urban Level I trauma center). Participants/Subjects: Indicate the study population, study dates, inclusion/exclusion criteria, and method of sampling (consecutive, convenience, random). If matching was employed, specify the criteria by which subjects were matched. If controls were utilized, identify them as concurrent or historical. Interventions/ Observations: For experimental studies, clearly describe interventions. The data analysis section should include the type(s) of descriptive or inferential statistical methods used. The observations should be a list of major data elements or outcome measures relevant to the study objective. Negative studies should be accompanied by a statement of power, beta error, or confidence intervals.

Results: Specify measurements critical to the study objective or hypothesis. Specify associations or differences between or among groups under comparison using p values or preferably, confidence intervals. Note total number of subjects or participants, number meeting inclusion criteria who were excluded, and number enrolled who were lost to follow-up.

Conclusions: Conclusions should be succinctly stated and firmly supported by the data presented. Note important limitations.

 

Formatting Considerations: Tables are permitted and do not count towards the letter count. Under the new abstract system. After saving your work, you will find the Upload button for uploading your table/Graph next to the title for the abstract.

Online Submission System

New for the 2010 Annual Meeting - you will access the abstract submission system using your NEW name and password created from the iMis Membership system. If you are not a member, you have two choices:

 

1. You can go to the abstract submission system and click on option 4 to create a non-member account.

 

2.You can create an SAEM web account username and password for FREE at https://member.saem.org/iMISpublic/default.aspx
 - - - However, during the sign-up process, an e-mail is sent to membership to see if you already have an account and to provide the final approval. Look for a follow up e-mail sent to the account you provided during the signup proceedure to complete the process.

 

If you have forgotten your username or password, the reset system here will send the information to the e-mail account you have in the system. If you can no longer reach that e-mail account, send an email to membership@saem.org and tell them your old e-mail account and send the email from the new account you want us to use for your contact point. Send your name and the e-mail account name within the body of your e-mail as well. 

 

Once you have your iMis user name and password, then you are ready to go to the login for submitting your abstract. 

 

Keep in mind that Deadlines for submissions may vary for the Annual Meeting and the various Regional Meetings.  After the annual meeting deadline, there may be a delay for further submissions for the regionals while the database is duplicated to allow further entires for the remaining regional meetings.

IEME Submission Instructions (rev 2009 for the 2010 meeting)

Innovations in Emergency Medicine Education (IEME) Exhibits
Authors are invited to share innovative methodologies and exchange ideas to improve graduate and undergraduate education. We encourage submissions that represent work in progress, recent innovations, established projects, or components of medical school or residency curriculum. The following categories are suggested, but others may be submitted:

  • Curricular design of introduction to clinical medicine courses, clinical clerkships, residency programs, or continuing medical education programs.
  • Computer applications in medical education.
  • Interdisciplinary health education (across health disciplines, as well as courses taught by an interdisciplinary approach, such as nutrition, geriatrics, oncology, medical humanities, etc.).
  • Novel uses or case design in simulation.
  • Faculty development.
  • Innovative approaches to resident selection.
  • Approaches to the development and assessment of desirable personal qualities, values, and attitudes in students, residents, and faculty.
  • Approaches to problem-based and evidence-based learning.
  • Community health promotion/disease prevention programs.


Submissions accepted for presentation will be scheduled for presentation during one of the poster sessions. Submissions will also be published in the abstract supplement to the May issue of Academic Emergency Medicine. Please have a digital photo or an example of the project or curriculum or other appropriate sample ready to upload during the submission process (no bigger than 750 kb).


** This category is not for presentation of research conducted using the innovation. Those abstracts should be submitted as a scientific abstract in the Education category. **


SAEM will provide an 8' x 10' booth, a draped 6' table, an 8' x 10' poster board, and two chairs. Authors are responsible for any electrical, audiovisual, and computer rental costs.
