2013 Exhibit Rules & Regulations ‐ Atlanta
Space Assignment
Space will not be assigned until a registration form has been received. Booth number to be provided by April 1, 2013
Refunds and Cancellations
Cancellations can be made up until April 1, 2013 with a $500 cancellation charge. No refunds will be issued within two weeks of the event.
Cancellation or Termination of the Event
In the case that the premises where the event is to be held shall, in the sole determination of SAEM staff, become unfit or unavailable for occupancy, or shall be substantially interfered with, by reason of picketing, strike, embargo, injunction, act of war, act of God, fire or state of emergency declared by any government agency or by reason of any municipal, state or federal law or regulation or by any reason of any other occurrence beyond the control of SAEM, SAEM may cancel or terminate the exhibition.
In case SAEM staff shall for any reason determine to cancel or terminate the event, the exhibitor waives all claims the exhibitor might have against SAEM for damages or expenses and agrees to accept in complete satisfaction and discharge of all claims against SAEM a refund of amount paid by the exhibitor to SAEM in accordance with this agreement.
No Show Policy
Any registered exhibitor who does not attend the event will be billed the full amount.
Liability
SAEM, the exhibition venues, its agents and employees shall not be responsible for any loss, theft, or damage to the property of the exhibitor, his/her employees or representatives. Further, SAEM will not be liable for damages or injury to persons or property during the term of this agreement from any cause whatsoever by reason of the use or occupancy of the event space by the exhibitor or his assigns, and the exhibitor shall indemnify and hold harmless SAEM from all liability, which might ensue from any cause whatsoever. If the exhibitor’s materials fail to arrive, the exhibitor is nevertheless responsible for all the amounts due hereunder.
Exhibitors are advised to carry special insurance to cover exhibit material against damage and loss, and public liability insurance against injury to the person or property of others.
Restrictions
All exhibits are 10x10 booths with table top displays. Full floor displays are allowed upon SAEM approval.
Security
Security will not be provided by SAEM at any of the events. Each exhibitor should make provisions to safeguard his/her goods from the time they are placed at the table until the time they are removed.
SAEM will not be responsible for loss or damage due to any cause. All exhibitors must wear an exhibitor name badge for admission to events and while exhibiting.
Shipping information
All materials should be sent to the location where the function is taking place. Complete instructions will be sent with the confirmation of exhibition. SAEM is not responsible for any items that do not arrive in time for the event.
Set‐Up and Dismantling
Set‐up must be accomplished by exhibit opening time. No exhibitor shall have the right prior to closing of the event to pack exhibit without permission from SAEM staff.
Responsibility
If the exhibitor fails to comply in any respect with the terms of this agreement, SAEM shall have the right, without notice to the exhibitor, to offer said space to another exhibitor, or to use said space in any other manner. This shall not be construed as affecting the responsibility of the exhibitor to pay the full amount specified by the contract.
Electricity
During the event, it is the responsibility of the exhibitor to make arrangements for electricity with the site. Instruction will be provided in the confirmation email. Please read all confirmation materials carefully and call with questions.
